Abacus Care Coordination Inc

Abacus Care Coordination is a social work firm that provides cae management for persons who experience disabilites of various types.  Their process is complicated in that the "Deliverable" that they produce is a note that documents activies and contacts related to the services provided.  These notes are required as the source document for the billing that provides the income for the agency.  There is an ongoing audit requirement as well that is provided by the visual inpection of the note once it's produced. This challenge was divided into four basic components. 1) The documenting of the services provided 2) The internal audit processes that ensured the quality control of the services and the documentation 3) the billing procedure that is performed after the audit 4) the record keeping providing awareness of what had and what had not been paid .

~ The Solution ~

Office process automation requires that the problem be well  understood before begining to approach any resolution.  Taking this one element at a time:

1) Care Coordination personnel are required to produce a note documenting contacts with their clients.  Up until our note generator was released this was a painstaking and time consuming challenge. Care Coordinators would provide a narrative document that would be used as the source document for billing.  Care coordinators would write this document and deliver it to the agency for further processing.  Reviewing the procedure and determining what information needed to be collected we produced a Microsoft Form document that once completed would provide the necessary information.  This resulted in a time saving of roughly 15 minutes per note.  Two of these notes are required for each client under most circumstances.   

2) The note would then be audited for accuracy and completness, returned to the care coordinator for correction if neccessary.  In the process, data entry of the specifics of the note was manually performed.  While the specific audit process required a manual operation, the data entry was not required to be done manually,  The note process places it's data in a Microsoft Excel spreadsheet and this information is transferred into another spreadsheet with other note data.

3) The billing process involves entering the client information and the contact information and is then submitted for payment via a webpage, until our process this was also a time consuming manual operation.  Our development included using robotic process automation that took the collected inforrmation from the Excel spreadsheet, performing the data entry task and submitting the information for payment. 

4) Once the billing was completed a "reciept" provides a copy of the billing information and disposition.  This is saved and the specifics parsed, compiled with other billables and checked against the deposit made to Abacus' bank account.
